Participation in Survey and Contest “Sentobib”
Contest rules and statement on personal data
This contest regulation is drawn up in English and, for the comfort of respondents, translated into Dutch, French, German, Spanish and Italian. The English version is leading; no rights can be derived from the translations.
Art. 1 Purpose
“Sentobib” is a research project for European libraries and includes an online survey of the public of participating libraries. This online survey is linked to a contest for participating respondents.
The contest is organised by Sento Group BV (see Art. 7), which facilitates the research. This regulation sets out the conditions for participation in the survey and the contest. Participation in the survey and the contest implies acceptance of these rules.
“The respondent” or “the respondents” are the persons who complete a survey for one of the participating libraries.
- Participation in the survey is entirely voluntary and occurs of the respondent’s own free will.
- Participation in the study and contest is permitted from the age of 18.
- The respondent may stop the survey at any time.
- The surveys are fully anonymous. No identification data is requested or stored.
The estimated time to complete a survey is 10 minutes, depending on speed and answers.
The respondent grants the researchers or their partners permission to anonymously store, process and report his or her answers.
The data is collected and stored by Sento Group BV and may be shared with the partners of the research, such as the participating universities. More information: www.sentobib.eu.
Art. 2 Personal Data
The questionnaire contains no questions about personal or identifying data: at no point are data collected that can be traced to a person’s identity.
Completing the questionnaire is therefore always fully anonymous.
Due to this anonymous nature, it is not possible to determine who completed a particular survey, and it is therefore also not possible to request inspection, modification or deletion of answers afterwards.
It is prohibited to leave personal data (name, email address, address, etc.) in the open fields of the survey. If this does occur, you can contact Sento at the email address below to view, modify or delete your data.
No personal data is collected for the contest (“win a trip”) either.
- The system selects winners according to the procedure described in Art. 4.
- Winners will see a separate message at the end of the survey with a unique code and instructions to contact the research team by email.
- In this way, the team only contacts the winners and avoids collecting data from all respondents.
Winners may at any time, upon simple request by email or letter, ask Sento Group BV to view, modify or delete their personal data. The personal data of winners will be deleted after the prize has been handed over.
Art. 3 Contest Conditions
The contest runs during the entire period of the audience survey.
- Only respondents who answer all questions of the questionnaire participate validly.
- Each person may only participate once in the survey and therefore also in the contest.
- Each respondent has a chance to win one of the trips, but can only win one trip.
Prizes:
- The trips are awarded in the form of vouchers worth 1000 euros.
- The total number of trips is 3 for the entire study (subject to changes by the research team).
Additional benefit:
- Each valid respondent saves 1 m2 of endangered rainforest or nature reserve.
- Max. 1 m2 per respondent, up to 1000 m2 per questionnaire (per library).
At the end of the study, a donation will be made to the organisation World Land Trust, which issues an official certificate. This certificate will be shared with all participating libraries and published online.
Art. 4 Determination of Winners
The prizes are drawn by lottery.
- Prior to the study, www.randomizer.org randomly selects 3 libraries (+3 reserve libraries) from all participating libraries.
- In the survey of these libraries, a prize is drawn among the participants.
Process:
- For each selected library, www.randomizer.org chooses a number between 1 and 10.
- In the winning libraries, a randomiser in the survey system assigns each respondent a number between 1 and 10 in the background (invisibly).
- The first respondent who is assigned the winning number will see a message at the end of the survey that he/she has won, with a unique code and an email address.
- The winner contacts this address; further handling takes place directly between winner and organiser.
If the winner does not contact the organiser within 1 week, the prize may be awarded to the next respondent with the winning number. This process repeats until a winner is found for each prize.
If a selected library risks reaching too few respondents, the project team may replace it with a reserve library. If necessary, new libraries may also be added.
If the project team decides:
- To award additional prizes: additional libraries and numbers are chosen.
- To reduce the number of prizes: the randomiser decides for which libraries no prize will be drawn.
All draws are recorded on video. Changes after the start (more or fewer prizes) are recorded in the same way.
The result is final and binding and cannot be contested. No correspondence will be conducted with the organiser.
Art. 5 Prizes
- Each winner receives a travel budget of 1000 euros in the form of a voucher (usable for travel, accommodation, activities).
- In total, 3 vouchers are available.
- The number of prizes may be adjusted without prior notice.
The prizes are not exchangeable for money or other benefits. The organiser is not liable for the quality of trips or for defects in services provided by third parties.
Art. 6 Contest Rules
Participation implies full acceptance of these rules.
- Any attempt at fraud leads to immediate disqualification and may result in legal action.
- Sento Group BV reserves the right to modify, postpone, shorten or cancel the contest (in whole or in part) in case of force majeure or circumstances beyond its control.
- No liability can be invoked for this.
Printing, spelling or layout errors cannot be invoked as grounds for obligations towards Sento Group.
